Human Services Receptionist
Summary
Greets, escorts, and interviews incoming clients/community members toobtain or update required information. Answers and routes telephone call andresponds to telephone and in person requests for information in a sensitive andconfidential manner. Must be knowledgeable of policies, procedures and client’srights and shall so advise clients. Encourages clients to adhere to appropriatebehavior as described in the policy on client conduct. Schedules and cancelsappointment using the Electronic Records System (eClinical Works). Works withthe entire team to promote a positive attitude and an environment ofclient-centered service, continuous quality improvement, compliance withAccreditation Association for Ambulatory Health Care’s (AAAHC) AmbulatoryHealthcare Standards and other statutory requirements.
Responsibilities
1. Schedules, reschedules, and cancelsclient appointments using eClinical Works, the client registration andappointment scheduling modules.
2. Provides daily appointmentschedules to each applicable clinical staff member.
3. Collects billing information, e.g.,Medicaid, Medicare, and Private Insurance, compile pertinent daily sheetinformation, etc., and correctly collects and records payments, including theuse of credit card verification and processing machines.
4. Registering clients, noting thetime of arrival, checking for changes in eligibility or reimbursement statusand updating their demographic information on eClinical Works.
5. Provides clients with the requiredintake forms, and assist them in completing them as needed.
6. Advocates and ensures acceptableclient conduct in the lobby and shall keep lobby and restroom neat.
7. Answers the telephone and routecall(s) to appropriate person(s).
8. Responsible for updating voice mailmessages or announcements on front office phone, as needed or instructed.
9. Contacts clients to confirmappointments, notify them of unavoidable delays or cancellations and to sendout appointment reminders.
10. Assist and route medication’refills as appropriate.
11. Sorts incoming mail and messagesinto distribution/voicemail boxes, and processes outgoing mail.
12. Provides office support forexample; typing, filing, logging in mail, etc.
13. Maintains the confidentiality,security, and physical safety of client’s health and other records at alltimes.
14. Assists Behavioral Health clients withcoordination of transportation as needed.
15. May work an alternate work scheduleas needed to provide for client and program needs.
Standard Conduct
- Adheres to Tribe's and Program's confidentiality and personnel policies.
- Be available for local and out of the area travel as required for job related training and various activities.
- Attends all required meetings, trainings and functions.
- Be polite and maintain a priority system in accepting other job-related duties as assigned.

- Demonstrated ability to work effectively with Native American youth and family members in culturally diverse environments.
- Displays the ability to establish and maintain harmonious working relationships with other employees and the public.
- Demonstrates the ability to manage time well and work under stressful conditions with an even temperament.
- Demonstrated ability to understand and follow oral and written instructions.
Additional Qualifications
1. Demonstrates ability to use avariety of computer programs and in particular understand, and when necessary,operates software such as Windows 10 and MS Office Suite applications.
2. Demonstrates strong organizational skills, be able to prioritize duties and ensure timely completion of tasks.
Requirements
1. Must have High School Diploma or equivalent.
2. Must have excellent computer skills and knowledge of Microsoft Office Suite of products; knowledge of an electronic health record or eClinical Works desired.
3. Must possess excellent telephone skills and make a positive first impression on clients and visitors to the clinic.
4. Must possess a valid driver’s license, good driving record, and be insurable by the Tribe’s insurance carrier.
5. Must adhere to the Tribe’s confidentiality and Health Information Portability and Accountability Act(HIPAA) policies.
6. Must provide documentation of immunity to measles, and rubella, or become vaccinated with the recommended vaccines and hepatitis B vaccine. Must test for Tuberculosis (TB) at time of hire and per Nation Centers for Disease Control (CDC) guidelines as required. Must have an annual health exam and a Flu or exemption as required. [TLD1]
7. Must become certified and remain current in infant, child, and adult Cardiopulmonary Resuscitation (CPR) and First Aid within 6 months of employment.
8. Must be a self-starter, well organized, and willing to learn new skills.
9. Must possess valid driver's license, good driving record, and be insurable by the Tribe's insurance carrier.
10. Must successfully pass a pre-employment drug screening test.
11. Must adhere to required pre-employment background check, crim check and FBI fingerprints. Additionally, (IF applicable): Investigation of character as required by the Indian Child Protection and Family Violence Act(ICPFVP). The minimum standards require an investigation that shall include: a check of fingerprint files of the Federal Bureau of Investigation (FBI) and to appropriate local law enforcement agencies. The applicant must not have been found guilty of, or entered a plea of no contender or guilty plea to any felonious offenses or two or more misdemeanor offense under Federal, State, or Tribal law involving crimes of violence; sexual assault, molestation, exploitation, contact or prostitution; crimes against persons; an offense committed against children.
