Procurement & Inventory Clerk (PIC)
Summary
Under general direction, the Procurement & Inventory Clerk (PIC) will perform a variety of accounting and other tasks. The PIC is responsible for the effective management of the procurement and inventory function of the Tribe. This role oversees purchasing activities, inventory control, vendor relations, and compliance with tribal, state, and federal regulations. The PIC ensures the accurate receipt, storage, and distribution of supplies and equipment across all Karuk Tribal facilities including Yreka, Happy Camp, and Orleans, CA. The role requires knowledge of procurement processes, commercial supply sources, business practices related to sales, pricing, contracts, and logistics.
Responsibilities
- Manage procurement and inventory processes in compliance with tribal, state, federal, and grant requirements.
- Oversee purchasing operations, including purchasing, receiving, storing, distribution, and inventory management.
- Coordinate with tribal departments to assist with and process purchases.
- Maintain inventory control processes, including stock tracking and reconciliation with computerized records.
- Conduct inventory counts and audits to ensure accuracy.
- Prepare and maintain procurement records (authorizations, purchase orders, invoices, contracts).
- Ensure loss prevention by receiving, sorting, labeling, routing, and securing items.
- Serve as liaison with vendors and transport companies to ensure timely deliveries/returns.
- Research and obtain pricing, product information, and specifications.
- Maintain documentation for tracking purchases, including disposition records.
- Ensure vehicle procurement prioritizes maintenance-friendly specs, safety ratings, and operational suitability.
- Develop and implement procurement policies for vehicle acquisition.
- Prepare all deposit documents, deposit slips, and cash receipts daily.
- Provide copies of each cash receipt for customer, file, and fiscal records.
- Collect cash and issue receipts to programs and third parties.
- Track petty cash; report anomalies to CFO.
- Assist with annual audit.
- Adhere to the Tribe’s confidentiality, fiscal, and personnel policies.
- Be available for local and out-of-area travel for training and activities.
- Attend all required meetings, trainings, and functions.
- Perform other job-related duties as assigned.
Qualifications
- Demonstrated ability to work effectively with Native American populations in culturally diverse environments.
- Ability to establish and maintain harmonious working relationships.
- Ability to manage time well and work under stressful conditions with an even temperament.
- Excellent organizational, problem-solving, and communication skills.
- Ability to understand and follow oral and written instructions.
- Experience with inventory control systems and software required.
- Proficiency in Microsoft Word, Excel, and Outlook.
Requirements
- High school diploma or equivalent required; Associate’s degree in business, finance, logistics, or supply chain management preferred. Equivalent experience may be considered (2 years experience = 1 year higher education).
- Competence in word processing, spreadsheets, office equipment, and computer skills.
- Understanding of procurement and inventory management.
- Knowledge of material inventory, logistics, and supply chain management.
- Must be a self-starter, well organized, and willing to learn new skills.
- Ability to understand and follow oral and written instructions.
- Valid driver’s license, good driving record, and insurability by the Tribe’s insurance.
- Must pass pre-employment drug/alcohol screening and criminal background check.
