Administrative Assistant

The Administrative Assistant will provide support in a variety of functions, including but not limited to filing, answering phones, taking messages, performing data entry, typing documents, making copies, faxing, shredding, and delivering mail. This position provides direct support to the Gaming Commissioners, Compliance Director, and Compliance Officers.

Summary

The Administrative Assistant will provide support in a variety of functions, including but not limited to filing, answering phones, taking messages, performing data entry, typing documents, making copies, faxing, shredding, and delivering mail. This position provides direct support to the Gaming Commissioners, Compliance Director, and Compliance Officers.

Responsibilities

  1. Greet and direct visitors in a friendly and helpful manner.
  2. Receive and route telephone calls, take accurate messages, and answer questions with composure and good judgment.
  3. Provide clerical support including reviewing State gaming applications for accuracy, filing, shredding, copying, mailing, faxing, scanning, word processing, and data entry.
  4. Prepare Commissioner meeting agendas and record meeting minutes for the Commission’s official record.
  5. Prepare meeting packets for the Commissioners, Compliance Director, and Compliance Officers.
  6. Record mail and packages daily; copy and distribute mail as necessary.
  7. Conduct research to gather information on various topics as requested.
  8. Participate in job skills enrichment including computer skills, software programs, spreadsheets, and administrative support.
  9. Be available for local and out-of-area travel for job-related training.
  10. Attend all required meetings and functions.
  11. Be polite and maintain a priority system in accepting other position-related duties as assigned.
  12. Process Gaming Commission invoices for payment.
  13. Maintain, file, and record Gaming Commission financial documents.
  14. Process Gaming Commission roll call sheets for payment.

  1. Adheres to Tribe's and Program's confidentiality and personnel policies.
  2. Be available for local and out of the area travel as required for job related training and various activities.
  3. Attends all required meetings, trainings and functions.

Requirements

  1. High School Diploma or equivalent.
  2. Demonstrated experience in typing, word processing, and general computer skills.
  3. Ability to take direction from the Compliance Director.
  4. Ability to work well in a fast-paced environment with shifting priorities.
  5. Self-starter, organized, and willing to learn new skills.
  6. Dependable.
  7. Ability to prioritize duties and projects politely while ensuring timely completion.
  8. Potential to learn and perform all tasks listed in this description.
  9. Valid driver’s license, good driving record, and insurability by Tribal insurance.
  10. Adherence to confidentiality policy.
  11. Must pass pre-employment drug screening.
  12. Must pass a criminal background check and be eligible for a Commission license.
  13. Must be found licensable by the Karuk Tribe Gaming Commission.
